ProjectDox

King County offers applicants a comprehensive digital plan review tool from Avolve Software, called ProjectDox. See this page for information on how to submit your application, pay fees, upload resubmittals, and more.

What is ProjectDox?

ProjectDox is a new web-based digital plan review tool that helps with building permit reviews. It makes the process more visible for applicants, reviewers, and staff. Here’s what you need to know: 

What does ProjectDox do? 

  • ProjectDox lets applicants and the County share building plans and make comments and corrections to them in one location. 
  • You can communicate with the County directly within the system. 
  • Check your application status anytime.
  • Invite your team to contribute on your project.

Who uses ProjectDox? 

  • Building permit applications accepted for subject matter expert screening will be processed in ProjectDox, after initial submittal to Mybuildingpermit.com. 
    • Here’s how it works: 
      1. Submit your application in the existing Mybuildingpermit (MBP) portal.* 
      2. After intake, you’ll receive an invitation to create a ProjectDox account. 
      3. Upload all your submittal documents and drawings to ProjectDox. 
      4. Follow the remaining steps for screening, review, and any needed updates. ProjectDox will guide you with step-by-step instructions and how-to videos.

How to use ProjectDox

  • Create User Account

    When you are ready to submit your application, your original materials will be submitted through MyBuildingPermit.com

    Visit our page that outlines How to submit permits - Building and land use for information on what applications are available based on your property and project type. 

    • When your application submittal has been accepted for screening, an email invitation will be sent to the applicant to upload plans into ProjectDox®. For new users, the invitation will contain a temporary password. Go ahead and use that link to open an account. OR
    • Click here to "Create New User Account". Enter your email address and temporary password and click the Login button. (The password is case sensitive.)
    • Complete the new account form. Enter a Username, valid Email Address, and Password. You MUST use the same email address you used for mybuildingpermit.com. This is how the system will recognize you. 

    NOTE: A valid email address is important, since it will be used by ProjectDox to send project confirmations and document upload tasks. Also, it will be used during the review process to alert you of any important tasks or changes to your application.

    The password must not contain special characters, must contain at least one numeric digit, one upper case letter, one lower case letter, and must have at least 8 characters. Click Create My Account to proceed.

  • Verify Account

    • Once you have successfully created your account, you will receive an email with your verification code.
    • To activate your account, you will be required to click the link and enter your verification code.
  • Log In

    After successful account creation and activation, you are ready to upload documents for your application. 

    • Login into ProjectDox® a second time (and every time after that); enter your username.  Use the email address saved during the initial account creation.   Enter your permanent password that you entered in your Profile page.
    • Click the Login button.

    NOTE: This feature requires that the user has logged in at least once and no longer has a temporary password. 

    If you ever forget your password, click on the Forgot Password? link. You will be prompted with your security question.

  • Begin Using ProjectDox

    • Once you have successfully logged in, the system has various services to choose from. You can view the King County Supplemental User Guide for ProjectDox for more details and pictures on how to navigate the system. 
    • In ProjectDox is where you can access your active projects and upload documents, drawings, etc. Use this section to review and manage applications, (now called projects), that you have already submitted to King County. If you don't see your Building application listed, your emails might not match up
  • File Standards

    Submitting your documents and drawings according to the file standards will help ensure a smoother submittal and review process. In ProjectDox: When uploading documents and plans to ProjectDox, please follow the file type, borders, and file naming conventions below.

    ProjectDox only accepts drawings and documents in pdf format.

    Each plan sheet uploaded in ProjectDox must leave a 3”x3” space lower right-hand corner of the plan sheet for a King County stamp of approval.

    File Naming Conventions – Drawings

    • ProjectDox automatically versions all plans/drawings that have the same name. This enables Avolve ProjectDox to compare resubmittals and changes with the corrections requested by the County.
    • File names should not include date or time stamps, so that ProjectDox can version the documents, as needed.
    • Avolve ProjectDox requires drawings to be named as follows:

    Splitting Plan Sets into Single Pages 

    Drawings/plan sets must be uploaded to Project Dox as single sheet PDF files. To convert a multi-sheet plan set PDF file into single sheet PDF files, we recommend the following three-step process:

    1. Renaming: Rename your master plan set file with the required King County naming convention, using the record number assigned to your application by King County
    2. Splitting Multi-Page: Split the multi-page, master PDF file into single sheet PDF files using the splitting function in whichever file editor/viewer software you use (e.g. Adobe Acrobat, Blue Beam).
    3. Renaming Individual Sheets: Rename the individual single sheet PDF files.

    The plan sets are now ready to upload to ProjectDox. All the files may be selected and uploaded in ProjectDox simultaneously. It is not necessary to upload each file separately.

  • Complete Your Tasks & Respond to Comments

    • When managing an existing project, you will see a list of tasks you need to complete. Go ahead and complete your first task as soon as possible.
    • Be sure to make any necessary corrections and upload your new documents/complete tasks.
    • When you click on your project, you'll see tabs for tasks. ProjectDox enables customers and review staff to communicate within the application portal, including specific comments and responses.
    • Respondents enter text in the boxes on the right-hand side to reply to specific comments and hit Enter to submit.
    • You can follow the progress of your application and view/respond to important comments from staff in this reviews tab.

Frequently asked questions

If you submitted a building application before October 21, 2024 but have not yet been accepted for subject matter expert screening, once you are accepted to that phase, you will be invited to begin enhanced communications via ProjectDox. If you submitted an application before October 21, 2024 and are already in (or past) the subject matter expert screening phase, you will continue in the existing systems. See table below for more detail.
Most permit fees can be paid for online through MyBuildingPermit with a Visa, Mastercard, or e-check. Click here for more information on how to pay your fees with MyBuildingPermit.com. For more detailed information, please see the table below. 
This change applies exclusively to Building Permits and does not affect any other permit types or decisions. As we continue to implement additional permit types, we will announce these updates on our website.

Application pathway: payment, resubmittals, and status check

As we onboard our new software, some of our existing systems will begin phasing out. During this transition, we will do our best to guide you through the process and ensure that you can access the information you need.
